Executive Office Project Coordinator 

Work location : Abu Dhabi




Industry: Technology, preferably in the Ports, Logistics, Transportation Sectors.

A dynamic, bright, and organized individual, with initiative and good time-management skills. Efficient and detail-oriented in their role. Exceptional interpersonal and communication skills. They will be responsible bringing structure and project management principles to an Executive office environment, to successfully coordinate and project manage strategic projects and urgent matters. 



Responsibilities:
  • Maintain records for correspondence and documentation in relation to established business projects, contracts, and those in progress.
  • Organize, facilitate, and document Executive Office meetings. Facilitate communications with cross-functional teams and internal departments.
  • Develop and maintain project tracking and reporting for the Executive Office projects, and tasks. Proficiency in tools such as MS EPM, Jira is a plus.
  • Create Project updates, briefings, proposals and presentations with high proficiency in MS PowerPoint.
  • Maintain excellent working relationships with Executive Office members, partners/stakeholders and ensure their needs are met
  • Track reports and progress of projects using  
  • Identify opportunities to improve business processes and devise plans to implement these changes.
  • Assign daily task prioritization and tracking progress, milestones and flagging risks
  • Follow-up with Executive Office members, partners, and stakeholders to ensure completion of agreed upon action items, and to collect and manage deliverables. 
  • Consolidate feedback and effectively communicating updates/changes
  • Work with the Project manager to prepare and maintain project plans, prioritization, and forecasting.



Required Skills & Qualifications:
  • Bachelors in IT, Management or a similar field.
  • 3-5years of work experience in a similar role is preferred
  • Thrives under pressure
  • Impeccable attention to detail and highly organized
  • Ability to coordinate multiple projects simultaneous whilst meeting tight deadlines
  • Excellent stakeholder management experience
  • Proficiency in verbal and written English is a must, Arabic highly preferable and an added advantage.
  • Ability to work both independently and cooperatively in a fast-paced, collaborative environment
  • Highly resourceful problem solver and quick learner
