ParamInfo Computer Consultancy and its affiliates and subsidiaries respect the privacy of its clients and understand how important it is to them. The subsidiaries and affiliates of ParamInfo may process your personal data on our behalf as data controllers. We respect your privacy and protect your personal data, which is any information that identifies you as an individual.

This Recruitment Privacy Notice (“Privacy Notice”) explains how ParamInfo uses and protects your personal data.

This Privacy Notice only applies to the personal data of job applicants, potential candidates for employment or partnership, and those who participate in our recruiting programs and events.

ParamInfo receives this information directly from applicants through the online application process and subsequent follow-up interactions and alternate communication channels.

The terms of this privacy notice do not apply to our employees, contractors, or clients, nor to other personal data that ParamInfo collects for other purposes. If this privacy notice conflicts with the requirements of applicable law, your personal data will be processed by the applicable law.

As a result of providing us with your data, you acknowledge these commitments:

  • By reading and understanding this Privacy Notice, you agree that your personal data will be utilized by this notice
  • For the purposes and in the manner described in this Privacy Notice, your personal data may be transferred and processed worldwide, including in countries that may not offer the same level of data protection as your home country

Collecting personal information

Your personal data will be collected and processed by the requirements of the country where you will be applying for the job, not your own place of residence

In most cases, we collect personal data directly from the applicant when they apply for a role with us, such as their name, address, contact information, photographs, work and education history, achievements, and identity documents

When a candidate applies for more than one location or if the role that he applied for is available in more than one country, the types of personal data we collect from you and how we process it are determined by the laws in each of those countries

Upon receiving an offer from us, we may conduct a background check and, if legal, may also gather information on criminal offenses and proceedings against the applicant

Our company also collects similar personal information from third parties e.g., your references, previous employers, ParamInfo employees who have interviewed you, as well as authorized employment background check providers

Additionally, we may collect information about you online if you have chosen to make this information publicly available. To illustrate, we may obtain your information from professional social media sites (such as LinkedIn) and contact you about suitable positions
If permitted by applicable laws (e.g., Equal Opportunity Act of 2010), we may collect sensitive personal data about a candidate. It assists us in creating an inclusive and diverse work environment. We may also collect it if a candidate voluntarily divulges sensitive personal information to us during the recruiting process

Use of your personal data

The following are reasons justifying the use of your personal data:

  • Identifying and evaluating candidates for potential employment and future positions
  • Maintaining records regarding recruitment and hiring
  • Compliance with legal requirements
  • Considering the information, we receive from Candidates and the information we receive from third parties
  • Diversifying our programs and practices for inclusion and diversity
  • By the law, criminal history background checks are conducted upon offer of employment
  • The protection of our legal rights within the legal framework
  • In cases, where the safety or health of an individual is at risk

Furthermore, the use of personal data may also happen for ParamInfo analytics purposes, including aggregated and pseudonymized information, to enhance our hiring and recruitment practices and improve our ability to recruit qualified candidates.

Processing personal data based on legal authority

  • For the purposes mentioned above, we process your personal data based on the following legal grounds
  • We review your application out of a legitimate business interest in managing our relationship with you, recruiting the most qualified employees, and evaluating and maintaining the effectiveness of our recruiting process more generally
  • To our performance of contractual and pre-contractual measures related to our potential employment relationship with you
  • To our compliance with applicable law about personal data necessary to satisfy our legal or regulatory obligations depends in part on our compliance
  • Depending on your consent, depending on the extent to which applicable law permits, in our optional recruiting programs and if we collect sensitive personal data from you

Background screening

We may conduct a background check on you or have a third party conduct one for us if you are offered a position with us. By local laws and within the context of the role that you are being offered, background checks will only be performed when legally permitted

Generally, a background check involves criminal background data only if it is allowed by the applicable legislation

Background checks are legal pre-contractual measures we perform to establish a working relationship with an employee

Your application may require background screening by a third-party background screening provider to obtain your permission to release your personal information. You will also receive details of the process and what will be involved with your personal information

International data transfers and recipients

ParamInfo may open your personal data to recruiters and interviewers within the country in which the position you are applying for is located, in addition to other countries within the organization. Administrative and IT personnel at ParamInfo may have limited access to your personal data as needed to perform their jobs

There may be fewer rights under local law in some countries than you do in your own country, but we have put in place legal mechanisms designed to secure the protection of your personal information, which may include transfer to countries outside of your own country of residence if that is the case

We use our own hiring software, piHire – Recruitment Management System

Additionally, we may share your personal data with other third-party service providers who may assist us in identifying and recruiting talent, administering and evaluating pre-employment screening and testing, and improving our recruiting practices

By applicable law, we have protocols in place to help ensure that any processing by third-party service providers is compliant with this Privacy Notice and protects the confidentiality, availability, and integrity of your personal data

We implement additional legal mechanisms where required by law to help ensure adequate protection of your personal information in a third country

Sorting candidates automatically

We may use algorithms and data analytics in certain jurisdictions to help us analyze the large amounts of data we receive from candidates and applicants. In this way, we can prioritize application reviews and sort candidates based on characteristics that suggest their strengths and capabilities relevant to the role at hand. We use these algorithms to analyze the candidate’s application data and compare it with our historical data on successful and unsuccessful candidates.

The automated results are always considered alongside, and not in place of, human judgment. Every candidate is evaluated according to his or her own merits.

Some roles may require specific skills or qualifications (e.g., fluency in a certain language, certifications or degrees, or years of experience in a similar role). Non-compliant applications may be rejected automatically.

 

Managing Data (Preserving/ Keeping records/ Data storage/ Data Retention)

We will include any relevant personal data collected during your pre-employment period in your employee records, which will be retained according to specific country requirements and the ParamInfo privacy notice that we issue to employees on day one

Even if you are not employed by us, we may use and retain your personal information for a time period (which may vary depending on the country) for system administration, to assess you for potential roles in the future, and to conduct original research. We retain minimal information about you to record your recruitment activity with us

You might be considered for future employment opportunities if we stay in contact with you. In such an event, we will seek your consent to include you in one of our recruiting programs that provides you ways to further learn about and stay in touch with ParamInfo, either before or after you formally apply for a job opportunity. It is entirely optional to participate in these recruiting programs

To protect personal data, we follow generally accepted standards of technical and operational security. We restrict access to personal data to authorized employees of ParamInfo and our third-party service providers, and these employees and third-party service providers have a duty to protect this information. However, we cannot guarantee that unauthorized individuals will not obtain access to your personal data despite these precautions.

You are entitled to the following rights.

The following rights may be available to you by applicable law:

  • The right to amend, supplement or correct any incomplete, inaccurate, out-of-date, or misleading information held about you
